How mileage claims work in Dext

Manage business mileage with Dext. Add vehicles, calculate claims using official or custom rates, and submit reimbursements.

Mileage claims let you capture and calculate business travel expenses quickly, using official government rates or your business's own custom rates. Dext calculates mileage automatically, making it easy to submit and track claims for yourself or your team.

Supported regions

Mileage claim calculations are available in these regions:

  • Australia

  • Canada

  • France

  • United Kingdom

  • United States

If your Dext account isn't set to one of these regions, the mileage feature isn't available. This makes sure all calculations follow regional compliance requirements.

Tip: If the mileage feature isn't available in your region, you can still record and submit business travel using a mileage template. Go to How to manually submit mileage in Dext

Rates and calculations

Dext calculates mileage claims using official government rates for each supported region by default, or a rate your business sets itself.

  • Approved country rates: the official rate issued by each region's government body, such as HMRC in the United Kingdom or the IRS in the United States

  • Custom rates: Admins can set the business's own reimbursement rate for personal vehicle claims in the United Kingdom, United States, Canada, and Australia. This isn't available for accounts in France

Roles and permissions

Access to mileage features depends on your role.

Admins (including accountants and bookkeepers working in a client account) can:

  • Add or edit vehicles for any user

  • Add personal and company vehicles (region dependent)

  • View and manage all vehicles

  • Submit claims on behalf of others

  • View and edit all submitted claims

  • Update mileage settings

Standard users can:

  • Add or edit their own personal vehicles

  • View their own vehicles

  • Submit their own mileage claims

  • View and modify the claims they've submitted
    ​
